I recently sat down at the desk of a client’s employee, while doing an internal workflow audit. [No this isn’t an actual picture, so don’t waste your time trying to figure out who it is 🙂 ] The desk was an absolute wreck, piles everywhere – the whole place in disarray. I thumbed through one pile after another, astonished at how far backlogged this person’s desk was. Before my blood pressure went through the roof I circled back to my client and asked how this person could be considered one of the most consistent and responsible service people in the agency with a desk that looked like it did, the answer was “oh, she’s not behind, she just won’t trust the electronic filing system and never throws anything away”.
Do you have people like this in your shop? If you do you’ve got to get the paper in and out. Into the electronic filing system and out to the shredder ASAP. You’re creating for yourself and whole host of potential problems by leaving that paper laying around, none the least of which is a fire hazard!
Get your “paperless” or “eFiling” system down, test it then trust it or you’re sunk. Your client file can only be one place, not here there and everywhere or you’re in a touch spot when it comes to an E&O claim or worse yet a lawsuit. |
